We’re looking for an Executive Assistant to join our team!

Reporting to the CEO, the Executive Assistant plays a key role in managing the ntegrity office, coordinating events and supporting internal communications and human resources. 

This is a great opportunity for a high-calibre individual, seeking impactful part-time work with a growing company and leaders renowned for high performance and high care. We believe “part time” and “high achiever” aren’t polar opposites, we have part-timers in key roles across the business!

The role is .6 (22.5hrs), working across 3 or 4 days. Exact working days and hours will be made in collaboration with the CEO as there is flexibility to accommodate individual circumstances.  If desired, there is potential for this role to scale in hours as the agency grows.

This role impacts our purpose by removing the day to day administrative management off our executive, to enable them to focus on the broader priorities across the agency. This is a new role, with leaders that are used to operating autonomously, so it requires someone able to grab the wheels and forge ahead. Self confessed control freaks welcome to apply!

On a day-to-day basis this role will: 

  • Provide administrative support to the CEO, including scheduling meetings, agenda preparation, travel coordination and managing internal and public-facing communications

  • Provide human resource support including coordinating recruitment and interviews, job description development, maintaining employment contracts and onboarding/offboarding of staff members

  • Coordinate ntegrity events including off-site strategy days, annual reward trips (Magnetic Island March 2022) and monthly social events. 

  • Manage key agency priorities that affect people and place, including our move from an office to an enterprise co-working space (planned for April 2022) and management  of office equipment and key vendor relationships

  • Supporting our operations manager in development of company policies and procedures

  • Coordinating our monthly impact sessions, where we host leaders from the not-for-profit sector to present to the ntegrity community

  • Playing a key role in supporting the management team to deliver projects that have real impact  for some of Australia’s most well-known not-for-profits and for-purpose businesses

Key Selection Criteria:

  • Excellent verbal and written communication skills

  • Strong stakeholder engagement and management (both internal and external)

  • A true “people person” - someone that enjoys working with people while able to keep projects moving forward  

  • Ability to multitask and problem-solve 

  • Maturity, resilience, and the ability to work with minimal direction at times

  • Confidence to liaise with all levels of the organisation 

  • Ability to quickly grasp new systems and technology

Experience and Qualifications:

  • 5-10 years’ experience in administration, project management or office management working with senior leaders

  • Expertise in meeting management, event coordination and customer service 

  • Experience using the google suite (gmail, calendar, docs, slides, sheets), slack and zoom

  • Experience managing social media accounts

  • Experience working with HR or recruitment teams (highly desired)

  • Experience in an agency or consulting organisation (highly desired)
